Team, Roles & Permissions

Fully customizable roles, granular permissions, invitations, time off, and each team member's own profile.

Roles are fully custom

Unlike a fixed role list, roles belong to your business and can be created, renamed, or deleted (except Owner, which always has every permission and can't be edited or removed). New businesses are seeded with three starter roles you're free to change:

Office StaffRead and write access to customers, jobs, estimates, invoices, and payments — no team management, no reports.
TechnicianRead access to customers and services, read/write access to jobs, and read access to inventory. No access to money.

Manage roles and their permissions from the Team → Roles screen. There are 37 granular permissions in total, covering jobs, customers, estimates, invoices, payments, inventory, purchasing, subcontractors, timesheets, pay rates, accounting, marketing, team management, reports, and business settings — mix and match to fit how your business actually delegates work.

Two are worth calling out because they are deliberately not folded into anything else. Reading what a colleague is paid is its own permission rather than part of managing the team: somebody who adds and removes people is not automatically somebody who should see everyone's salary. Timesheets work the same way — your own hours are always yours to see and correct, and seeing anyone else's is a separate grant.

Plan limits also apply

Your subscription plan can also cap which features are available, on top of whatever a role's permissions allow — so even an Owner can be missing a feature if it isn't included in the current plan. See Platform Subscription & Billing.

Inviting team members

Invite someone by email and role from the Team page; they receive an invite email and set their own password on first login. You can't invite past your plan's team-member limit (Free and Solo plans allow 1, Team allows up to 5, Growth is unlimited).

What technicians see

There's no separate technician app or URL — technicians use the same dashboard as everyone else, but see two extra widgets ("My jobs today" and "My schedule this week") that owners/managers don't, plus quick-action buttons on their current job (call the customer, message them, or mark the next stage) — as long as their role has the relevant permissions.

Time off

Any team member can request a date range and reason for time off from the Team page. Managers get a notification when a request comes in and can delete requests (as can the person who made the request). Upcoming and current time off shows on the Team page and as vacation blocks in the Schedule page's Team view.

Working hours and team member profiles

Each team member has their own weekly availability, separate from your business-wide working hours, editable by themselves or a manager. Their profile page shows performance stats (jobs assigned/completed, hours logged, revenue generated), personal details (visible only to themselves or managers), working hours, time-off history, and a log of their assigned jobs and time entries.
