Scheduling & Dispatch
The four schedule views
The Schedule page offers four views of your jobs, switchable from the same page:
| View | What it's for |
|---|---|
| Day | A single day laid out as a vertical timeline by time of day — good for seeing gaps in a technician's day — plus a button to open a multi-stop Google Maps route across that day's job addresses. |
| Week (default) | A 7-day grid you can drag jobs between to reschedule, with header stats for jobs, unique customers, and open estimates that week. |
| Month | A calendar grid with per-day job chips, also drag-to-reschedule. |
| Team | A per-technician weekly timeline showing each member's jobs and vacation blocks side by side. Only visible to managers/owners (requires team management permission). |
You can also filter the Week view to a single technician (linked from the Team page and the dashboard's "Active employees today" widget).
Drag-and-drop rescheduling
In the Week and Month views, dragging a job onto a different day changes only its date — the time of day and duration are always preserved. To change the time of day, open the job and edit its scheduled start/end directly.
The dispatch board
Dispatch is its own page, and it answers a different question from the schedule. The schedule shows you when things are; the board shows you what needs a decision right now. Two widgets carry that: Needs assigning, every open job with nobody on it — unscheduled ones first, since a job with a date and no technician is at least on a calendar — and Running late, today's jobs whose start time has passed and that nobody has set off for, each showing how late it is rather than just that it is.
Around them sit the technician timeline for today, the live map, who is free at this exact moment, who is off, today by stage, today's progress, the unscheduled backlog, van status, and what has just been finished. The board is arranged the same way as your dashboard — press Customize to drag, resize, add or remove — and the arrangement is saved per person, so two dispatchers can work differently.
Worth knowing
For an unassigned job, Who is nearest? answers in drive time rather than straight-line distance — minutes on the road, from wherever each technician actually is. Where no drive time can be established it says the distance instead and labels it as one, because a distance dressed up as a road answer is the one thing a dispatcher must not be given. Nothing is looked up until the button is pressed, so the board can sit open all day without spending your Maps allowance.
Public booking page
Every business gets a shareable booking link (found under Settings → General) that anyone can use to request an appointment without creating an account. A request includes the requester's name, email, phone, an optional service, and a preferred date/time.
The only automatic check applied is a lead-time floor: requests earlier than your configured booking lead time (Settings → Preferences, default 24 hours) from now are rejected. Submitting matches an existing customer by email, or creates a new one, and inserts a new job at your workflow's first stage.
What this does not do
Live location sharing
When a job is in the Travelling or On Site stage, the assigned technician can start live location sharing from the job page. While it's on, their position is periodically recorded and shown to office staff with a "View on map" link to the most recent position. It is opt-in, tied to that specific job's current stage, and stops once the technician turns it off or the job moves out of those stages — not a persistent, always-on tracker.
This is separate from clock-in/out location capture, which records a single coordinate at the moment a technician clocks in or out of a job (see Jobs & Workflow).
