Creating a job
Create a job from a customer's page or from the Jobs list. You'll pick a customer, enter a title and description, and set a scheduled start/end time. A "Find next available slot" button will scan the next 30 days against your business working hours, holidays, and existing jobs to suggest a free gap.
Every new job starts at the first stage of your workflow (see below). You can assign one or more team members immediately or leave it unassigned and pick it up later.
Workflow stages
Jobs move through a sequence of stages defined by your trade configuration. All current trade configurations use the same eight stages:
Scheduled → Confirmed → Travelling → On Site → Completed → Invoiced → Paid → Archived
Paid and Archived are terminal stages. Stage buttons on the job page are always shown, so you can move a job to any stage at any time — there's no enforced linear order, which is useful if a job needs to jump back a step.
The stage list starts from the trade preset you chose at signup, and is editable afterwards under Settings → Workflow stages: rename a stage, reorder it, change its colour, or require a photograph before a job may leave it. That last one is how "no job is closed without a picture of the finished work" becomes a rule rather than a reminder.
What this does not do
travelling, on_site, or completed stages automatically emails the customer ("On my way," "Job started," "Job completed"). This is tied to those specific stage names, so a custom trade configuration using different stage keys would not trigger these emails.Assigning team members
A job can be assigned to one or more team members from the multi-select field on the job page. If you assign someone to a time slot that overlaps another job they're already on, you'll see a non-blocking warning — the job still saves, so you can decide whether the overlap is intentional (e.g. a quick stop between two nearby jobs).
Recurring jobs
When creating a job, you can set it to recur weekly, biweekly, or monthly for up to 52 occurrences. This creates all of the occurrences up front as separate job records sharing a recurrence group, rather than generating them one at a time as each due date arrives — the job page shows "Part of a recurring series" with the occurrence count.
What this does not do
On the job page
Photos
Upload photos tagged Before / During / After / Other, with an optional caption. Photos are shown in a grid and can be deleted.
Attachments
A separate, arbitrary file upload/download list for anything that isn't a photo.
Signatures
Separate customer and technician signature blocks, each captured with a typed name and a signature drawn on-screen. Once signed, a signature is shown as a final image — there is no built-in way to re-sign from the job page itself.
Notes
Threaded, timestamped notes with an author. Only the author of a note can delete it.
Materials, equipment & expenses used
Log materials used (this deducts from that material's stock on hand and records the cost at the time it was used, so the job's cost doesn't change later if your catalog price changes), customer equipment serviced (adds an entry to that equipment's service history), and one-off expenses. Together with any linked invoice, these feed a per-job Profit card: revenue minus materials cost minus expenses.
Clock in/out and location
Team members can clock in and out of a job; if the browser grants location access, the coordinates at clock-in and clock-out are captured. Only one open (not-yet-clocked-out) time entry is allowed per team member at a time.
While a job is in the Travelling or On Site stage, an assigned technician can also start live location sharing, which periodically records their position so office staff can see where they are on a map. This is opt-in and tied to the job's current stage, not an always-on tracker — see Scheduling & Dispatch for details.
Reminders and review requests
A "Send reminder" button (shown for scheduled, not-yet-completed jobs) manually emails the customer a reminder. Once a job reaches Completed, a "Send review request" button becomes available — it only works if you've set a review link under Settings → Preferences.
Separately, if job reminders are enabled in Settings → Notifications, every assigned technician automatically gets a push notification a configurable number of minutes before the job's scheduled start — no manual action needed. See Chat & Notifications.
