Customers & Properties

Customer records, the properties and equipment they own, and the no-login portal link every customer gets.

Customer records

A customer has a name, email, phone, free-text tags (comma-separated, shown as badges), and notes. Deleting a customer is a soft delete: their properties and estimates are removed, but the customer record itself is archived rather than erased, so historical jobs and invoices continue to display correctly. Archived customers are hidden from lists and pickers.

Properties

A customer can have any number of properties — each a full structured address with an optional label (e.g. "Main office," "Rental unit 2") and a primary flag. Add or remove properties inline on the customer's page. When you create a job, you'll pick which property it's for.

Equipment tracking (summary)

Log equipment belonging to a customer — name, brand, model, serial number, install date, and warranty expiry (a badge flips to "Warranty expired" once that date passes). Equipment gets its own detail page with a running service log, and can be marked as "serviced" directly from a job page, which adds an entry to that log.

Files and messaging

Attach photos (with captions) and arbitrary documents to a customer record. There's also a simple message thread between your staff and the customer — separate from your internal team Chat — visible both on the customer's internal page and on their public portal.

Customer value and history

Each customer page shows lifetime value (the total paid across all their invoices), current outstanding balance, and a merged, date-sorted timeline of their jobs, estimates, and invoices with deep links into each.

The customer portal

Every customer gets a private portal link (found on their customer page, with a "Send to customer" button that emails it to them) that requires no login — just knowledge of the link, which includes a unique access token. From that link, a customer can:

  • View upcoming appointments and past job history
  • View all their estimates and invoices, and open each one's own token-gated page
  • Send and receive messages with your business
  • Leave a 1–5 star review with an optional comment
  • Book another appointment via your public booking page

Worth knowing

Because the portal link itself is the only access control, treat it like a password — don't post it somewhere public. Each customer has their own unique link.
